Introduction and scope

This policy explains what personal data we collect when you visit our website, request a quote, book a callout or become a customer, why we collect it, how long we keep it and the rights you have over it.

It applies to everyone who contacts us by phone, WhatsApp, email or our contact form, and to every job we carry out. By using this website or booking our services, you acknowledge this policy.

Quick summary

The short version: we gather contact and vehicle info to quote and complete your job, we never sell it, records are kept only as long as the law requires, and you can ask what we have on file and request a correction or deletion at any time.

  • No data ever sold to third parties
  • Card payments handled by a regulated provider, never stored by us
  • Job and invoice records kept for 6 years for tax purposes
  • You can request access, correction or deletion any time

1. Information we collect

Contact details you provide: name, telephone number, email address and the address where the vehicle is located.

Vehicle details: registration, make, model, mileage and reported symptoms, together with any diagnostic data read from the vehicle during a visit.

Transaction data: services purchased, quoted and invoiced amounts, and payment status. Card details are handled by our payment provider and are never stored by us.

Technical data: anonymised analytics such as pages viewed and approximate region, used only to improve the website.

2. How we use your information

To respond to enquiries, prepare quotes and schedule callouts.

To carry out repairs, order the correct parts and maintain a service history for your vehicle.

To issue invoices, process payments and meet our accounting and tax obligations.

To contact you about a booking, a guarantee claim or a safety issue identified on your vehicle.

3. Lawful basis

We rely on performance of a contract for work you have asked us to carry out, legitimate interests for responding to enquiries and improving our service, legal obligation for accounting records, and consent where you opt in to marketing messages.

4. Sharing your information

We share limited data with parts suppliers, our payment processor, our accountant and, where recovery is required, a recovery operator. We do not sell or rent personal data to third parties.

Where a warranty claim requires it, we may share repair records with the relevant parts manufacturer.

5. Retention

Enquiry records that do not lead to work are deleted after 12 months. Job records, invoices and service history are retained for six years to meet IRS record-keeping requirements and to support guarantee claims.

6. Your data protection rights

You have the right to request access to the personal data we hold about you, ask us to correct anything inaccurate, ask us to erase your data where we have no ongoing lawful reason to keep it, restrict how we process it, receive a portable copy of it, and object to processing based on legitimate interests, including marketing.

You also have the right to withdraw consent at any time where we rely on consent, for example marketing emails.

To exercise any of these rights, email info@mechaniconservicellc.com or call +1 (407) 873-0569. We will respond within one month and will not charge a fee unless a request is manifestly unfounded or excessive.

7. Cookies

This website uses strictly necessary cookies to make basic functions work, such as remembering your cookie choice and keeping the site secure. These cannot be switched off.

Where you consent, we also use privacy-friendly analytics cookies to understand which pages are useful and to improve the site. No advertising or cross-site tracking cookies are used.

You can control or delete cookies at any time through your browser settings. Blocking cookies will not stop you using the site or contacting us.

8. Security

Data is held on access-controlled systems with encryption in transit. Paper job cards are stored securely and destroyed once digitised.

We take reasonable technical and organizational steps to protect your data, but no online system is completely secure; you share information with us at your own discretion.

9. Children

Our services are intended for adults arranging vehicle repairs. We do not knowingly collect personal data from children.

10. Third-party links

Our site may link to mapping and messaging services operated by third parties, such as Google Maps and WhatsApp. Their own privacy policies apply once you leave our website.

11. Complaints and contact

If you are unhappy with how we handle your data, contact us first at info@mechaniconservicellc.com so we can put it right. You also have the right to file a complaint with the Florida Attorney General's office or the Federal Trade Commission (ftc.gov).

We review this policy annually and will publish any changes on this page with an updated date.
